Why booking your Tuscany wedding venue before speaking to a wedding planner will blow your budget

A couple falls head-over-heels for a private villa on Instagram or TikTok, reaches out directly, puts down a deposit within days, and only realizes months later that the venue rental fee was just the tip of the iceberg.
I completely get the pull. You scroll through social media, spot a beautiful terrace looking out over rolling vineyards and olive groves, and think, “This is the one.”
However, locking in an Italian wedding venue before speaking with a local planner is one of the most expensive mistakes you can make. The issue usually isn’t the venue itself, it’s everything the venue doesn’t tell you before you sign on the dotted line.

When an Italian venue quotes you a base price, whether in a direct message or on their website, or even sometimes through a third party, that figure almost always covers just the physical space. It rarely reflects what it actually costs to host a wedding on the property.
Depending on the estate, that headline rental rate usually excludes key line items like:
- Kitchen facilities or catering exclusivity requirements
- Generators, or additional power
- Cleaning costs
- Security deposits
- Curfew restrictions and extension costs
- Costs for extra lighting
- Usage of all spaces
- Transporting your offsite guests to your wedding
- Supplier obligations

None of this is malicious on the venue’s part. It’s simply not their job to build your overall wedding budget, that’s mine.
Instagram gives you inspiration but not the total invoice
Social media is fantastic for gathering vision board ideas, but it’s a terrible tool for estimating destination wedding costs in Italy. A picturesque photo won’t show you vendor delivery fees, seasonal price surges, or local tax structures.
I frequently work with American couples who booked a venue on their own, only to discover the all-in cost was 30% to 40% higher than their total expected budget once catering, rentals, and logistics were calculated.
